1. Introduction
The Study Abroad Center Management Office is the core operational division of CIKE. It supervises all CIKE Study Abroad Centers worldwide and ensures that every center provides accurate information, standardized services, reliable processing, and consistent student support. This office establishes CIKE’s global policies, manages compliance, and maintains a unified counseling and application system across all countries.
2. Main Functions & Responsibilities
1) Global Center Coordination
- Manage and support all CIKE Study Abroad Centers (Nepal, Bangladesh, Thailand, Japan, etc.)
- Ensure consistent counseling standards and admission procedures
- Provide real-time updates on school policies, visa changes, and government regulations
- Coordinate communication between CIKE headquarters and local centers
2) Standardized Counseling & Application System
- Develop official guidelines for counseling, documentation, and application submission
- Implement quality assurance checks to prevent errors or missing documents
- Provide standardized templates: SOP, recommendation letters, financial forms, etc.
- Monitor each center to ensure accuracy and compliance with CIKE policies
3) Case Management & Tracking
- Maintain CIKE’s centralized case-tracking system
- Review and verify student documents before final submission
- Monitor progress from counseling → application → acceptance → visa
- Provide assistance for complex or urgent cases that require escalation
4) Training & Professional Development
- Provide training programs for all Center Managers and staff
- Train new members on CIKE policies, visa rules, and admission systems
- Conduct regular workshops on counseling skills, document accuracy, and customer service
- Ensure all centers maintain the same level of professionalism
5) University & Institutional Partnerships
- Manage relationships with partner universities, colleges, and language schools
- Coordinate MOUs, agreements, and institutional collaborations
- Collect admission requirements and program updates directly from schools
- Ensure each CIKE center receives verified and official information
6) Compliance & Policy Management
- Ensure all centers follow CIKE’s internal policies
- Ensure compliance with immigration laws and ethical counseling standards
- Regular audits of student files, documentation accuracy, and communication records
- Protect student data through strict privacy and security guidelines
7) Student & Parent Support
- Provide guidance when local centers need additional assistance
- Handle special cases or inquiries requiring headquarters involvement
- Maintain transparency with families through official channels
